What is MicroCylo?

MicroCylo is desktop software that keeps an LPG gas agency's khata, billing, stock and empty cylinder counts in one place. It installs on Windows, macOS or Linux, it runs with the internet down, the books stay on your own machine, and the licence is bought once rather than paid for monthly.

About the software

Do I need internet?

No. The application and its books sit on your machine, so it works with the connection down. You only need internet if you want to email a PDF.

Can it handle names in Urdu?

Yes. Urdu names are typed in and printed correctly on bills and statements, properly shaped and in the right order.

What happens to my old register?

We bring across the opening balance for each account, the empties they are holding, and your catalogue with prices and deposits. Old bills can be loaded too if you have them in Excel.

Can two people use it at once?

Yes, on the depot and counters licence: up to four machines read and write the same book, and it will not let two people sell the same last cylinder.

What if I raise my prices?

Change the price whenever you like. Yesterday's bill still says what you actually charged that day, because every line keeps the price it was sold at.

What if I stop paying support?

Nothing stops working. The licence does not expire and the books stay yours and readable. Support only covers help, updates and installations.

Who fixes it if something breaks?

We do, on the phone or over a remote session. Save a backup, send us the file, and we can reproduce exactly what you are seeing.

Is this not the same as Excel?

Excel will hold the numbers. It will not stop a sale over a credit limit, it will not count the shells a customer is holding, and it will not print a khata on your letterhead. And two people cannot keep the same sheet open at the counter without one of them overwriting the other.

About the price

Is there a monthly fee for MicroCylo?

No. The licence is bought once. Support renews yearly and is optional, and the licence itself does not expire.

Do I pay per user?

No. The depot and counters licence covers up to four machines on one book for a single price, however many people use them.

What does support cost after the first year?

The first year is included in the licence. Renewal is optional and priced separately, so ask us for the current figure when you book the demo. Nothing stops working if you do not renew.

What happens if I stop paying for support?

Nothing stops working. The licence does not expire, your books stay on your machine and stay readable, and you can still export everything to PDF or Excel. Support only covers help, updates and installations.

Can I try it before I buy it?

Yes, on your own figures. Send us a page of your register or a month of your Excel, and we will load it before the demo so what you see on the screen is your depot and not a made up one.

Is there a price for more than one depot?

Yes, priced per site, with a separate book for each depot and consolidated reporting across them. That one is a conversation rather than a number on a page.

About the khata

Can I see a customer's khata for a date range?

Yes. Any two dates you choose, with an opening balance at the start of the range and a closing balance at the end.

Does the khata show cylinders as well as money?

Yes. The same account carries the shells that customer is holding, counted out and in, alongside the rupee balance.

Can I stop a customer going further into debt?

Yes. Every account has a credit limit and it is checked at the till, so the sale is stopped before it becomes a bad debt rather than found at the end of the month.

Can I search for a customer without knowing his code?

Yes. The name, code and phone fields all narrow as you type, so a part of any of the three finds the account.

About empty cylinders

Does it count different cylinder sizes separately?

Yes. Filled and empty are counted separately for each product and size, not pooled into one number.

What happens when I do a physical count of the yard?

You enter what you actually counted, and the difference between that and the book is recorded as a correction with a date. You can see what went missing rather than only that the number changed.

Can I tell how long a customer has been holding my cylinders?

Yes. The movements are dated, so the account shows when the shells went out as well as how many are still out.

Coming from paper or Excel

Can MicroCylo import my existing Excel sheet?

Yes. We bring across the opening balance for each account, the empties they are holding, and your catalogue with prices and deposits. Old bills can be loaded too if you have them in a sheet.

Can I still get my data out into Excel afterwards?

Yes, at any time. Every report exports to PDF or Excel, and the backup is a zip of plain comma separated text that opens in any spreadsheet, even if the application never starts again.

Is this cloud software?

No. It installs on your own computer and keeps your books there. It needs no internet to run, and nothing sits on somebody else's server.
